A common theme in the landscape industry is an underwhelming understanding of the importance of Work Ticket Management. Do you often find yourself thinking “What does good work ticket management look like and why is it so important?” We have the answers!
Why is work ticket management important? Companies who don’t manage their work appropriately find themselves under or over servicing clients (which means you are losing money, or the client is paying for services they aren’t receiving), and they don’t have access to live data within Aspire.
What does good work ticket management look like? There are two basic practices that will improve your work ticket management: Lists and Daily Time Approval.
Lists, Lists, Lists!!
Aspire has the ability to create an endless number of lists within the software. By creating lists that help you manage your work tickets from many different angles, you are covering all your bases to make sure your clients are not missing out on any services. No ticket left behind!
Work Ticket (WT) lists can include:
- EOM WT lists (opened, scheduled, pending approval, etc.)
- WTs Scheduled This Week, Next Week, Next Month, Etc.
- WTs Scheduled After Opportunity Completed Date
- WTs Pending Approval
- WTs Not Scheduled.
- Review of Warranty WTs
- Forecast of Scheduled Work for The Month…And many, many more!
Once lists are created, dials can be added to your user’s dashboard in Aspire. This allows them to see the data live and have quick access to review the information.
Daily Time Approval
By approving time daily, you are eliminating inaccuracy and creating efficiency. Accurate time approval is beneficial for employees (who want accurate paychecks) and clients (to confirm they are receiving the work promised within their agreement).
When you wait until the next day, or the end of the week, there will be details you simply cannot be expected to retain. This is a fast-paced industry, and every day has its own challenges. By approving time daily, you are more likely to enter and approve accurate times from that day. Since you are only approving one day at a time, you will find time entry less of a headache and much quicker.
Now that you have some insight on what managing your work tickets should include, you need to implement processes that have lists and daily time approval. This might look like creating dials within Aspire to show the live data within the system, utilizing role specific checklists, or weekly management meetings to review the data these lists show.
